How to organize your horse’s records
Keep identity, care history and supporting papers together.
Give each record a home
Keep one record collection per horse. Use the same registered name, stable name and identification details across your papers. Check the identity against the original document before saving it.
A useful collection has four parts. Horse identity, dated care history, source papers and upcoming reminders. Keep emergency contacts easy to find. A photograph can help distinguish horses with similar names, but does not replace formal identification.
Save the facts with the source
For a care entry, record the date, what happened, who performed it and any follow-up instructions provided. Attach the invoice, certificate or other source when you have it. Mark an unknown detail as unknown rather than filling the gap from memory.
When a detail changes, add a correction that refers to the earlier entry. Keep the original paper. This makes it easier to explain why two dates or descriptions differ.
Make retrieval part of the routine
After saving a paper, close it and find it again from the horse’s records. Check that the full document is readable, the horse is correct and the important dates appear on the original. A reminder is useful only when its date comes from the right source.
Before a vet visit or handover, review open reminders and recent care entries. Share only the information the recipient needs. Ask the recipient to confirm receipt when the information matters for upcoming care.
Keep a recoverable copy
In Tackroom, choose whether to enable automatic iCloud backup. A manual backup remains available without that choice. Check the completed backup date and any missing-file message. An export and an iCloud backup serve different purposes, so keep a portable copy before changing devices or deleting records.
